Streamlined creation of Cost Centre Order tasks in job schedules

We've introduced a more efficient process for adding Cost Centre Order (CCO) tasks to job schedules. This feature activates when:

  • New orders are added to a job estimate after schedule creation
  • An existing $0 order is updated to a value greater than $0

Key improvements include:

  • Estimator-approved task creation: The system prompts estimators to approve new CCO tasks before adding them to the schedule, ensuring accuracy and control.
  • Intelligent grouping: Upon approval, new orders are grouped with existing ones for easier location in the schedule. For example, a newly created 'Order 1' will be positioned directly after the default 'Order 0' in the CCO task list.
  • Enhanced visibility: A new 'Var/CO' column in schedules, similar to Job Estimates, clearly identifies tasks stemming from variations or change orders.
  • Streamlined workflow: Supervisors receive notifications of unconfirmed schedule changes, allowing them to review and confirm updates efficiently.

These enhancements simplify the management of job variations and change orders, improving project oversight and scheduling accuracy.

Undo and Redo functionality added to schedules and estimates

Undo and Redo capabilities are now available to enhance user control and efficiency in critical job management areas:

  • Schedules and Worksheets: New Undo and Redo icons appear in Schedule Gantt Charts, Combined Gantt Chart, Schedule Templates, and Worksheet views. Users can reverse or reinstate actions such as moving rows, editing task details, adding or deleting tasks, and form edits.
  • Job and House Plan Estimates: The Undo and Redo functionality extends to Job Estimates and House Plan Estimates, allowing users to manage changes including cost centre modifications, item/component table edits, variation confirmations, and adjustments to formulas and cutting lists.

These additions provide greater flexibility and confidence when making changes across various project elements, improving overall workflow and accuracy.

Fullscreen view, quick task editing, and PDF export now available in Gantt charts

Building on our July update that allowed users to remove task dependencies by double-clicking predecessor lines, we've now introduced even more features to enhance your Gantt chart experience:

  • Fullscreen mode: A new 'Fullscreen' button is now available on all Schedule and Schedule Template Gantt Charts, including the Combined Gantt Chart. This toggle expands the Calendar to full screen, providing a more immersive view of your project timeline. Exit fullscreen mode by pressing the icon again or using the Esc key.
  • Quick task editing: Double-clicking a taskbar on any Gantt chart now opens the 'Edit Task' dialog. This feature allows you to modify key task details without leaving the Gantt view, including Task Name, Start Date, Duration, Resource allocation, Description, Confirmation details, and Completion percentage.
  • PDF export: A new 'Export to PDF' button has been added to all Schedule and Schedule Template Gantt Charts, including the Combined Gantt Chart. You can now choose between a single-page or multi-page PDF that displays all tasks on the Gantt chart, making it easier to share and print your project timelines.

These enhancements enable complete schedule editing directly from the Gantt chart view, streamline your workflow, and improve project communication.

Resource management enhanced with conflict highlighting and notification system

We've introduced new features to improve resource allocation and communication across projects:

  • Resource conflict highlighting: Tasks with overlapping resources across all schedules are now highlighted in red. An information icon allows users to view conflicting schedules and navigate directly to them, enabling quick identification and resolution of resource allocation issues.
  • Estimator notifications: The system now sends notifications to Estimators via ToDo tasks and email when resources for job orders are updated or deleted. This keeps Estimators informed of changes that may impact their work.

Key points to note:

  • For printed purchase orders, updates are not automatic; Estimators must make these changes manually.
  • New ToDo Permissions have been added to Office Role Permissions. These need to be activated for the Estimator's user role to enable the notification feature.

These enhancements streamline resource management, reduce conflicts, and improve communication between team members working on different aspects of projects.

Vendor Report updates enhance privacy and customisation options

We've rolled out several improvements to our Vendor Reports, offering greater flexibility and control over the information shared:

  • Supervisor view option: A new checkbox in the Vendor Report allows switching to 'Supervisor' view. When selected along with 'Send to Sub-Contractors and Suppliers', the report displays Supervisor Name and Phone Number instead of Client Name and Job Number, enhancing privacy where needed.
  • Streamlined reporting: Completed tasks and jobs are now automatically excluded from Vendor Reports, ensuring the focus remains on active work.
  • Supplier exclusion feature: A new checkbox in Creditor/Supplier contact details allows you to exclude specific vendors from receiving Vendor Reports. This option provides more control over information distribution.

These updates allow for more tailored and relevant Vendor Reports, improving communication efficiency while maintaining appropriate levels of information sharing across your supply chain.

Watermarks added to document previews to prevent misuse and confusion

We've introduced a new feature to address a common issue and improve document handling:

  • Watermarked previews: Document previews now display a watermark, appearing diagonally across all pages and in front of the text. This addition helps prevent misuse of preview documents when sharing with clients.
  • Affected documents: The watermark feature applies to the following document types: Sales Quotes Variation/Change Orders Job Orders Specifications

This update was implemented in response to instances where sales and variation quotation previews without quote numbers were being sent to clients, causing confusion and discrepancies between actual printed quotes. The watermark clearly distinguishes preview documents from final versions, reducing the risk of miscommunication and reinforcing proper document management practices within your organisation.

  • Checkmark icon: When a user confirms a variation by double-clicking in Job estimates, a checkmark icon now appears in the 'Var' / 'CO' column.

New checkbox allows selective exclusion of suppliers from Job Order emails

We've introduced a feature to give you more control over your communication with suppliers and creditors:

  • Selective order distribution: A new 'Do not send Job Orders' checkbox has been added to Creditor/Supplier contact details.
  • Default setting: This checkbox is unticked by default, maintaining your current distribution settings.
  • Automated email filtering: When producing Job Orders, the system now automatically sends emails with the generated orders only to those Creditors/Suppliers who do not have this checkbox ticked.
  • PDF generation unchanged: PDF files for Job Orders continue to be generated for all suppliers, regardless of this setting.

This new option allows you to fine-tune which contacts receive Job order emails, streamlining your procurement process and reducing unnecessary communications. By selectively excluding certain contacts from email distribution, you can ensure that Job orders are sent only to the most relevant recipients, improving efficiency whilst maintaining comprehensive records.

Streamlined schedule reporting: Focus on active jobs and tasks

We've made several updates to our reporting features to help you focus on current, relevant information:

  • Completed jobs excluded: Tasks from completed jobs are now automatically excluded from key reports, including the Supervisor's Schedule, Per Supervisor Report, Vendor Report, and Simplified Chart for Multiple Job Report.
  • Completed tasks hidden by default: Several reports now exclude completed tasks by default, including the Job Construction Schedule, Supervisor's Graphic Timeline, Supervisor's Schedule, Job Schedule Worksheet Summary, Per Supervisor Report, and Vendor Reports. A new checkbox allows you to view completed tasks if needed.
  • Not Proceeding Jobs filter: The Job List Report in Jasper now includes an "Exclude Not Proceeding Jobs" filter checkbox. This option is ticked by default, allowing users with appropriate permissions to focus on active jobs.

These updates streamline your reporting process, making it easier to concentrate on ongoing work and active projects. By reducing clutter from completed or non-proceeding jobs and tasks, you can more efficiently manage your current workload and resource allocation.
